Volunteer Team Descriptions

Activties

Buddy

Accompany and assist assigned guest throughout the evening, providing companionship and any assistance they may need during the event. Sit with their guest during dinner, dance with them and participate in activities with them. Volunteer buddies must be at least 16 years old.

Caregiver Lounge

Love on the parents/caretakers by serving desserts, running a raffle, spending time getting to know them and being available to pray with them.

Check In

Greet volunteers, guests and caregivers, give them their nametags and lanyards and direct them to their appropriate area.

Coat Check

Greet guests, take their coats, label them and hang them. As guests leave, ask for their names and retrieve their coats.

Dance Floor

Encourage the dancing throughout the evening, engaging the guests and setting a fun atmosphere.

Floaters/Safety

Constantly “float” around the main event /dance floor space, kitchen, restrooms and outdoors to assist anywhere an extra hand is needed. Ensure guests can move about easily in the main event/dance floor space, seats are available should they need to rest and water stations are continuously stocked. Floaters should also be trained and prepared to serve as a buddy should additional buddies be needed at the last minute.

Flowers

Assist florist with unloading and properly laying out corsages and boutonnieres. Help guests select and pin on their flowers or place them on their wrist.

Food

Assist caterer with unloading desserts. Serve desserts for guests/buddies and volunteers Monitor lines for proper flow participation.

Gift Takeaway

Pack gift bags, manage them during the event and help each guest collect their favors to take home.

Hair and Makeup

Assist set-up team with the salon area. Welcome each guest to a salon station for hair and makeup. Provide simple hair and makeup touch ups, chat with them while you pamper them and make them feel special.

Medical

Assist professional EMT personnel at the event by providing basic first aid and care for any medical needs or emergencies. Must be a medical professional.

Paparazzi

Take photographs, cheer and treat honored guests like celebrities and VIPs.

Parking

Maintain a parking pattern and direct traffic for easy vehicle entry and exit. Maintain open fire and emergency lanes Assist guests as they exit vehicles and help them find the registration area. Be available as guests return to their vehicles following the event.

Photographer

Capture the full scope of the evening, including red carpet arrivals, hair and makeup stations, shoeshines, Sensory Room, Respite Room, limo rides, guests on the dance floor, karaoke, the crowning ceremony, etc.

Sensory Room

Spend time with guests who may have become over-stimulated on the dance floor or in other areas of the prom. Interact with them by participating in sensory activities, singing or listening to calming music or simply providing them with some quiet time.

Set Up

Execute event set-up, connect with DJ, audio/visual, activity and parking teams to ensure they have everything they need and the best possible event layout is in place.

Shoeshine

Assist set-up team with the salon area. Welcome each guest to a shoeshine station. Chat with them while you pamper them and make them feel special.

Tear Down

Take down decorations, tables, chairs, etc. and clean up the event space, delivering the returning items to Riverbend.

Technology

Assist the Technology Lead with website development. live stream, audio/visual and registration kiosks. You MUST have the appropriate skill sets; the Technology Lead will follow up!

Videographer

Capture the full scope of the evening on video, including red carpet arrivals, hair and makeup stations, shoeshines, Sensory Room, Respite Room, limo rides, guests on the dance floor, karaoke, the crowning ceremony, etc. Provide a fully edited event video.
